Set up and download compliance reports

Introduction

Zunia lets you quickly and easily create data exports for the main Australian Commonwealth, State and Territory compliance reports based on their reporting requirements.

Zunia has a data mapping feature to help you match the data in Zunia with the accepted values required by the government body for each report.

This guide shows you how to find the right compliance report, configure the data mapping for the report, export the data, fix export errors and finally, download the report for submission. 

Note: A compliance report can only be downloaded if it has no export errors.
 

Find a compliance report

Set up your compliance report and download it from the Compliance reports page.

Go to Reporting and complianceCompliance reports. 

  1. In State, select the state or territory of your school. This will display a list of all the compliance reports that schools in this state must send to the government.
  2. Select your report. 

You are now ready to set up your compliance report.
 

Configure data mapping

First, you will need to configure the data mapping for your compliance report.

To configure the data mapping: 

  1. Find your compliance report.
  2. Select View data mapping.
    This will display all the Zunia data fields that map to the report. A warning icon Warning icon will appear next to any data fields with incomplete mappings.
  3. Select a data field to view its mapping. This will display each value for the data field in Zunia and will allow you to map a corresponding output value on the report.
  4. Select an output value for any unmapped values.
  5. Select Save when you have mapped all the values for the data field.
  6. Repeat the steps to complete mappings for any remaining data fields which have incomplete mappings. 

You have now configured the data mapping for your compliance report.

Export the data 

When you’ve completed the data mapping for the report, you’re ready to export the data.

To export the data: 

  1. Find your compliance report.
  2. Select Export to define the report parameters. The report parameters will differ depending on the report you have selected.
  3. Select Export to export the report. 

You will get a notification that your report is exporting and it may take a few minutes. The progress status of your export will show on the reports page.

When the export process is completed, the report name, export time and number of errors will show in Notifications with the bell icon Bell icon. The reports page will also show the updated export status and any errors or warnings.

An export with no errors will show a Ready status and you will be able to download the compliance report. Otherwise, you will need to fix export errors before downloading.
 

Fix export errors and warnings

You can download a report with warnings but you can’t download a report with errors.

To fix export errors:

  1. Find your compliance report.
  2. Select the errors and warnings. This will display a summary of the errors and warnings of your export.
  3. Select View the full errors and warnings report for a detailed description of the errors and warnings. Keep this report open as a reference.
  4. Close the summary and fix the errors.
  5. Re-run the export until the status shows as Ready.  

You have now exported your data without any errors and ready for downloading.
 

Download a compliance report 

Once the data export status is Ready with no errors, you can download your compliance report.

To download the compliance report: 

  1. Find your compliance report.
  2. Select the download icon Download icon to download the data into an Excel spreadsheet.  

You have now downloaded your compliance report and ready to submit to the government authority. 

When Zunia hasn't defined values for mandatory reporting

In most cases, exporting these compliance reports is a one-click process. However, there are a few compliance reports shown in the following table where you will be required to manually add a small number of mandatory data to the export spreadsheet before submission to the relevant authority. This is only the case when the required information is simply not able to be stored in Zunia.
