Send academic reports

Introduction

When all sections of your student reports are written, reviewed and marked as  Complete, you'll be able to download them as PDF or send them home to families in bulk, all at once.

Once you've generated the academic reports, they'll be ready to send to families. You’ll send them in bulk, all at once.  

This guide shows you how to bulk send academic reports.  

Send academic reports in bulk

To find all completed reports ready to send, go to Academic reporting > Manage reports.  

  1. Select the year in Academic year.  
  2. Select the academic period in Academic period.  
  3. Select Student to send out the student reports. 
  4. Select Apply.   
  5. Go to Status and select Complete.  All complete academic reports for this reporting period will display.
  6. Select Send reports to prepare mail merge to send completed academic reports in bulk.

Select how to send academic reports 

After you select Send reports, a Mail merge window will display. Here, you can edit an email draft. This email will contain the academic reports and get sent to all school families who have opted to receive their reports by email.  

  1. Draft the email to send with the reports.  
  2. Select Set classification and select the groups in your school community who have permission to receive this email.  
  3. Select Send
  4. A message will display prompting you to print reports for the student contacts who have their Academic reports communication preference set to Print instead of Email. Families can decide if they want their reports as hard copies, and you can find and update their preferences here
  5. Select Print, and you'll get a message asking you to download the reports for printing.  
  6. Finally, you get a message confirming how many reports were "printed".
  7. Select Finish.  

Now you’ve sent the academic reports home to families in an email, or you’ve arranged to have them printed and sent home by mail.  
You’ve finished the final step in academic reporting for this academic period.
