Introduction

Student profiles are a type of community profile. They let you manage all your students’ details in Zunia, including their personal and contact information, classes, reports and any important alerts, medical or legal information like custody notes.


Types of student profiles

There are three types of student profiles: future students, current students and past students

Past studentsAfter a student has graduated or moved to another school


You can update students' basic details when you've created a student profile, including personal and contact information. But each profile type has features and data that you can only access if the student's profile is created as, or transferred to, the correct type.


Future students

When you create a profile for a future student, you can add details about their application, including when they applied, the year and term they’re expected to start, and how their application is prioritised.

Then later, when they’re about to start term, you can transfer their profile to Current students.

Current students

Current student profiles have access to the most features in Zunia.

If a student has a current student profile, you can:

  • add them to classes
  • manage their assessment and reports
  • update their personal and contact information
  • manage their medical information and add medical incidents

Past students

When a student has graduated or moved to another school, Zunia lets you keep their profile in the system as a past student for any record-keeping or reporting needs your school has.

And if a student moves back to your school, their details are still in Zunia so you can transfer their profile back to Current students.

Create student profiles for different student types

School administrators typically create student profiles when students submit their applications to the school. So, Future students is the most common profile type created, but you can create a student profile of any type.


Transfer student profiles to a different type

If you’ve created one type of student profile, you can transfer it to or from current students. You can then transfer it again when you need to.

When you transfer a student profile to a different type, the data displayed in the new type of profile is restricted by the new profile format. For example, you cannot add a past student to classes.


Add alerts, medical or legal information to a student profile

Open a student profile and navigate to either Alerts, Medical or Legal tabs to add, view or edit any student alerts, medical conditions, legal information, court orders or custody notes.


Add passport and visa numbers for international student profiles

Whether an international student is current, fture or past, you can add relevant passport or visa number to Zunia so they can be available for any reports requiring these details.

Note: you need to enter a passport to a student profile, before you can add their visa details.


Add passport and visa details to a student profile

To add a passport number for a student, open their profile within Current student, Future student or Past student and select International tab:

  1. Select Add
  2. Select their country from the dropdown
  3. Select their citizenship status from the dropdown
  4. Complete the remaining passport details in the form
  5. Select Add

You have added a passport for a student.

To add a visa number for a student, open their profile within Current student, Future student or Past student and select International tab:

  1. Select the Ellipses near their passport details and select Edit
  2. Select Visas
  3. Select Add
  4. Select their visa class from the dropdown
  5. Select relevant visa subclass from the dropdown
  6. Complete the remaining visa details in the form
  7. Select Add

You have added a visa for a student.
