Introduction
If you use asc Timetables to create your timetable cycles and scheduled classes, you can now import these cycles and scheduled classes files into Zunia.
Before you can create timetables using asc Timetables, you’ll need to export 5 separate data files from Zunia into asc Timetables:
- Subject
- Year level, form or tutor group
- Room
- Staff
- Student
This guide will help you create your export file from Zunia to import into asc Timetable.
Before you start
Check Academic year and periods for your timetable have been set up.
To check go to School configuration > School structure.
You can Create your academic year if required.
Create your export files for asc Timetable
Start by stating the menu navigation in Zunia and then the steps, example:
To export subjects from Zunia, go to Subjects. Select
to Export as CSV.
To export year level, form or tutor group from Zunia, go to School configuration > School structure and select either Year level, Form or Tutor group. Once you’ve made your choice, select
to Export to excel.
To export rooms from Zunia, go to System configuration > Edit lookups and select Room. Select
and Export as CSV.
To export staff from Zunia, go to Staff profiles > Staff
Filter by Staff type (if applicable) to list relevant teaching staff.
Select Include ID (used to identify staff when importing an asc Timetable into Zunia).
Select
to Export to excel.
To export students from Zunia, go to Student profiles > Current students
Filter for required students or select Search to list all current students.
If assigning students to class by form or tutor group in asc Timetables; select
and Configure Columns and add Form or Tutor Group to list of visible columns.
Select
and Export as CSV. If applicable, select Include ID as first column (used to identify students when importing an asc Timetable into Zunia)
You have now exported the 5 files you need from Zunia to import into asc Timetables.
Importing and mapping data in asc Timetables
Your imported data will be listed and you’ll need to map the columns in the Zunia export files to an asc Timetables data point before selecting Import.
Note: It is important you keep the first row with column headers from Zunia when importing into asc Timetables.
Refer to mapping information for each area below:
Subject
Select First row contains column headers
Map Subject to Name
Map Code to Short
Classes (Year level/form/tutor group)
Select First row contains column headers
Map year level, form, tutor group or class name to Name
Map year level, form, tutor group or class code to Code
Room
Select First row contains column headers
Map Description to Name
Map Code to Short
Staff
Select First row contains column headers
Map Given Name to First Name
Map Surname to Last Name
Map ID to Short
Student
Select First row contains column headers
Map ID to Number (code)
Map Given Name to First Name
Map Surname to Last Name
Map Gender to Gender
Map Year level, Form or Tutor Group (depending on which was exported from Zunia to allocate students to lessons) to Class
You have imported the Zunia export files into asc Timetable.
Notes:
When you’ve imported all 5 files into asc Timetable, you can create your Timetable.
Create your asc Timetable and save the file.
You can import asc Timetable into Zunia when you Create a timetable cycle.
