Introduction

You can upload a photo of a single staff or student when you create their profile. You can also upload photos of multiple students or staff in bulk.

Prepare the images

To prepare the photos for bulk uploading:

  1. Save each image using the Student/Staff ID. For example, if Thomas Jones has a Staff ID of 15698, the file name is 15698.jpg. The file format must be .JPG, .JPEG, .PNG or .WEBP.
  2. Save all the files into one .ZIP file on your computer.

Note: Do not compress/zip the folder the photo files are contained in. Select all photo files to be compressed/zipped into one ZIP file.

Get image source information

Source information is optional. Here you can store information about where the photo came from. With the details, you can apply for permission to reproduce the photo in future. Here's the information you need:

Field name

Description

1

Source code

This lists information of where you got the photo from. Example, School photographer, local newspaper, etc.

2

Source date

This is either the date of the photo shoot for school photos or the day it came from another source.

3

Reference

Enter which school photographer it was. Example, 'MSP photography'.  You can also enter information about any copyright concerns here. Example, 'Allowed for internal school use only'.

Upload images

To upload your image files, go to Student profiles > Bulk upload photos > Upload photos or Staff profiles > Upload staff profiles > Upload photos.

  1. Select Choose File and locate the ZIP file on your computer.
  2. Select Set as profile image.
  3. In the Classification drop-down list, select Photo
  4. Enter the Description and Alternative text. You can choose to leave them blank too.
  5. Enter any information you have about where the photo came from in Source information.
  6. Select Add to upload the photos to each profile.

The photo you upload displays on the profile page and replaces any existing photo linked to that profile. You can't undo the upload.
