Introduction
When your school sends payment requests, they get recorded in a debtor account, and this record is a statement. Sometimes, you need more information from a statement than you can get from the statement summary in a debtor account.
This guide shows you how to view statement details from a debtor account. First, you need to find the debtor account that has the statements you need to view.
Find the debtor account
To find a debtor account:
- Go to your school's finance entity, then select Debtor accounts.
- Next, enter the name of the student, debtor or company name in the Search field.
Any debtor account containing those names display. - Select the debtor account containing the statements you need to view.
The debtor account details will display.
Next, you'll select a statement and look at its payment and billing information.
Select a statement
To select a statement in the debtor account:
- First, select the debtor account.
- Then, select Statements to display a list of statements sent to this debtor.
You'll see a list of statements previously sent to debtors with the following details:
- Statement run title - is the name of the fees your school asks the debtors to pay, for example, Year 11 camp fees.
- Statement date - is when your school sent the statement to the debtor.
- Due date - is the date your school needs to receive payment.
- Opening balance - is the total amount that a debtor owes to the school.
- Closing balance - shows you the total amount paid on this statement.
- Next, select the statement you need from this list and the statement details display.
View statement details
When you’ve selected a statement from the list, you can view more information about this statement.
You'll see the debtor's contact details and the statement summary. You'll also see a list of transactions in rows:
- Date - is the date of a transaction.
- Description - shows more detail about a transaction.
- Amount - is amount of each individual charge that a debtor must pay. For example, camp fees, damage fees, late fees, etc.
- Balance - is the amount the debtor owes to the school.
- Opening balance - is the total amount that a debtor owes to the school.
- Closing balance - shows the final amount of all transactions made on this statement.
You've now found a statement in a debtor account, and you've selected the statement to see more details.
